How Transactions Are Created

When the Eventbrite integration is enabled, Donorfy can automatically create Transactions for paid-for events.

This behaviour is controlled in Integrations, click Eventbrite, then select Settings under Eventbrite Transaction Defaults.

Key points

  • Transactions are only created when Create Transactions for paid-for events is set to Yes.

  • You must choose a default Payment Method, which can later be overridden per Campaign.

  • The transaction currency is set using Settings, click Configuration, click Currencies.

Eventbrite Transaction Defaults

In Eventbrite Settings, specify defaults for Product, Fund, and optional Department for each of the three transaction types:

1. Ticket Fee

Includes the cost of tickets plus any passed-on fees.

2. Donation Amount

Covers donation-style payments included during ticket purchase.

3. Additional Items (Add-ons)

Includes items such as merchandise or extras purchased at checkout.

๐Ÿ“ŒNote:
Add-ons are always marked Potential Gift Aid-able = No.
If you intentionally use an add-on for donations, manually update the resulting Transaction in Donorfy.

Campaign-Specific Transaction Defaults

You can override the global defaults for a specific Eventbrite event mapped to a Donorfy Campaign.

How to configure Campaign-level mappings

  1. Open the relevant Campaign in Donorfy.

  2. Go to the Eventbrite tab.

  3. Ensure the Eventbrite event is selected.

  4. Under Transaction, choose the Payment Method.

  5. Set the Product, Fund, and optional Department for each allocation type:

    • Ticket Fee.

    • Donation Amount.

    • Additional Items (Add-ons).

  6. Click Save Changes.

Soft Transactions for Additional Attendees

If an order includes multiple attendees, Donorfy adds soft transactions to associate each attendee with the payerโ€™s Transaction.

When Transactions Appear in Donorfy

Eventbrite only releases funds after an event payout is processed. Therefore:

  • Transactions appear in Donorfy after the Eventbrite payout, typically 4โ€“5 days after the event. See this Eventbrite article.

If you want transactions to appear sooner, configure a custom payout schedule in Eventbrite. See this Eventbrite article.
