How Activities Are Created

Once Eventbrite is linked to Donorfy, Activities are automatically created whenever Eventbrite sends order or attendee information through the webhook.

Free Events

For free events, Donorfy creates an Activity for every ticket order placed.

Paid Events

For paid events, the associated Transaction typically serves as the primary record of the order, though an Activity may still be generated depending on your configuration.

Default Activity Behaviour

The default Activity type for Eventbrite orders is Eventbrite Order.

How Activities Are Assigned

Activities are assigned based on:

  1. Email address of the Eventbrite order

    • Donorfy matches this to an existing constituent or creates a new constituent if needed.

  2. Campaign assignment

    • If the Eventbrite event is mapped to a specific Donorfy Campaign, the Activity is assigned to that Campaign.

    • If not, the Activity is assigned to the default Campaign specified in Eventbrite Settings.

Override Options

If the event is mapped to a Campaign, you may override the Activity type used for these Eventbrite activities.

External Reference Fields

Activities in Donorfy include Eventbrite identifiers for tracking:

Reference Field

Value Stored

External Reference 1

Event ID

External Reference 2

Order ID

External Reference 3

Attendee ID

These allow for reliable cross-checking between Donorfy and Eventbrite.

Events Mapped to Campaigns

When an Eventbrite event is linked to a Donorfy Campaign, additional attendee-level handling is available.

Attendee Activities

If you choose to create Activities for each attendee:

  • Default Activity type = Eventbrite Attendee.

  • You may override this Activity type from the Campaign’s Eventbrite tab.

Additional Options in Campaign Settings

1. Exclude Certain Ticket Types

You can exclude attendees for select ticket types, for example:

  • Child tickets.

  • Volunteer passes.

  • Complimentary tickets.

  • Add-ons such as merchandise.

This prevents unwanted constituents from being created in Donorfy.

2. Map Eventbrite Team Name

If your event uses teams, you can map the Eventbrite team name to a field in the attendee Activity.

3. Check-In Tracking

Attendee check-ins can be recorded in Donorfy, allowing you to review attendance within the constituent timeline.
