Dashboards Overview

First steps in how to create Dashboards and what options are available.

Dashboards visually represent what is happening within your Donorfy—from donations being added to the number of new enquiries to how your most recent appeal is performing and much, much more!

Aside from Donorfy's standard dashboards, Donorfy's visualisation brings flexibility of Lists to Dashboards. Dashboards are configurable and allow creativity to be introduced with your data, and who you share it with( features availability dependes on the plan you are on).

We have some examples of visualisations that you can take inspiration from and may find useful. In Donorfy, and depending on the type of Donorfy plan you have, there are two types of Dashboards:

  • Classic (Dashboard).

  • Custom (Dashboard new).


Classic (Dashboard)

Where Classic Dashboards Are Located

  1. Log in to Donorfy.

  2. Go to Home, then click Dashboard.

Classic Dashboards will show tiles based on transactions that:

  • Are marked to be included in the Giving Summary Stats.

  • Use the Accounting Date from each transaction.

📌 Note: Dashboards update overnight. Transactions with an Accounting Date of today will only appear in the dashboard analysis from tomorrow.

Classic Dashboard Tiles on Starter Plans

On Starter plans, all users automatically see the pre-set Classic Dashboard tiles:

  • Gift income this week.

  • Gift income this month.

  • Gift income this year (based on your Donorfy reporting year start date in Settings, Account, under Donorfy Settings).

  • Gift Aid ready to claim.

  • Donor pyramid.

  • Gift income this year vs last year (based on your Donorfy reporting year start date in Settings, Account, under Donorfy Settings).

These tiles are fixed for Starter plans and are visible to all users on the account.

Dashboard Access on Professional and Enterprise Plans

On Professional and Enterprise plans, access to Classic Dashboards is controlled by user permissions.

Your Donorfy Administrator can set your dashboard access level so that you see only the tiles relevant to your role. There are three options:

  • No Dashboard Access – You will not see any Classic Dashboard tiles.

  • Selected Dashboard Tiles Only – You will see only the tiles your administrator has chosen for you.

  • Full Dashboard Access – You will see all available Classic Dashboard tiles.

Using the Selected Dashboard Tiles Only option allows your Donorfy Administrator to personalise dashboards for each user so they can see the most relevant information for their job or department (for example, Finance Director vs Fundraising Administrator).

If You Cannot See Any Dashboard Tiles

If you cannot see any dashboard tiles under Home, Dashboard:

  1. Check that you are on a paid Donorfy plan that includes Classic Dashboards.

  2. Contact your Donorfy Administrator and ask them to review your Dashboard access permissions.

Your Donorfy Administrator can update your access so you see the appropriate Classic Dashboard tiles for your role.


Managing your Dashboard Tiles

Changing the Layout of your Dashboard

You can move tiles around the Dashboard by clicking and holding down the mouse button on the tile you would like to move, this will then allow you to drag the tile to your desired position. Places you can drop the tile are shown as a grey box as shown below:

Collapsing/minimise Dashboard Tiles

You can alter the size of your Dashboard tiles to as big or as small as you like by clicking and holding the mouse button on the arrow symbol and then stretching or minimising to fit the area you would like it within, as shown below.

📌Note: If you size a tile for viewing on a larger screen and then view the Dashboard on a smaller screen, the Dashboard tile(s) may not show their full details due to the Dashboard area being reduced in size.


Dashboards (New)

Plan Limits

Essentials and Starter Plans

  • You can create 1 custom Dashboard per Donorfy account.

Professional and Enterprise Plans

  • You can create up to 10 custom Dashboards per Donorfy account.

All plans can include both:

  • List Visualisations.

  • Standard Donorfy tiles (from Classic Dashboards).

within each dashboard, subject to permissions.


Dashboard Access by User Type

The Dashboards tab always appears under Home > Dashboards, but actions differ by user role.

Donorfy Administrator

A Donorfy Administrator can:

  • Add, edit, and view all dashboards created by any user.

  • Take ownership of any dashboard.

  • Restrict access to a dashboard.

  • Change the contents of any dashboard, regardless of who created it.

Donorfy Standard User

A Standard User can:

  • Add and edit dashboards that they have created.

  • Grant other users access to dashboards they own.

  • View and/or edit dashboards where they have been given access (Owner / Editor / Viewer, as appropriate).

  • They cannot see or edit dashboards they have not been given access to.

Donorfy Viewer User

A Viewer User can:

  • Only view dashboards they have been given access to.

They cannot:

  • Create new dashboards.

  • Edit any dashboards.

  • Be made an Editor or Owner of a dashboard.


Access to Create Dashboard Tile Content

Dashboard tiles that show your own data come from List Visualisations.

Access to Lists

Access to Lists is controlled by:

Settings, Users, [User Name] , Allow access to Lists.

This setting is managed by your Donorfy Administrator.

Allow access to Lists = Yes

When Allow access to Lists is set to Yes:

  • The user can access Lists.

  • The user can add or edit dashboards.

  • When editing a dashboard, the user can select from any existing List Visualisation to use as dashboard tiles.

  • On a dashboard, the user can click the icon next to the dashboard tile name to open the underlying List in Donorfy and see the detailed data.

For Professional and Enterprise plans, this permission also controls whether a user can add or edit dashboards at all.

Allow access to Lists = No

When Allow access to Lists is set to No:

  • The user cannot access Lists.

  • The user cannot add or edit any List Visualisations in a dashboard.

  • If they have been granted access to a dashboard that already contains List Visualisations:

    • They can see the content of those tiles.

    • They cannot click through to the underlying List (the List link icon will not be displayed on the dashboard).


Sharing Dashboards

When you create or edit a dashboard, you can give specific users access by assigning them a dashboard-level role:

  • Owner

    • Can edit the dashboard contents.

    • Can grant or remove access for other users.

  • Editor

    • Can edit the dashboard contents.

    • Cannot change who owns the dashboard.

  • Viewer

    • Can only view the dashboard.

    • Cannot change its contents or sharing.

A Viewer user type in Donorfy cannot be made an Owner or Editor of a dashboard, even if you try to assign those roles.


Creating Your Dashboard Tile Content (List Visualisations)

Dashboard tile content is derived from Visualisations within Lists.

To set up a List Visualisation for use as a dashboard tile:

  1. Open the List you want to use.

  2. Click the Visualisation tab.

  3. In Visualisation Title, enter the name for your tile (this will appear as the tile title on dashboards).

  4. Complete the visualisation settings:

    1. Choose visualisation (e.g. chart type or summary style)

    2. Measure (what you are counting or summarising)

    3. Available columns (which columns drive the breakdown or grouping)

  5. Click Save.

Once saved:

  • The Visualisation can be selected as a List Visualisation tile when you create or edit a dashboard.

  • From the dashboard, users with List access can click the icon next to the tile name to open the List and see the underlying data.

Creating a New Dashboard

To create a new Dashboard:

  1. Go to Home, then click Dashboards.

  2. Click Add Dashboard.

1. General Section

Complete the required fields:

  1. Dashboard name*

    • The name that appears at the top of the dashboard.

  2. Description*

    • A short summary of what the dashboard shows.

    • This text will appear when you click the ? icon next to the dashboard name.

Both fields are required.

2. Content Section

Choose what tiles to show on the dashboard:

  1. List Visualisations

    • Click into the box and select one or more List Visualisation(s) you have already created.

    • Each Visualisation becomes a dashboard tile.

  2. Standard Dashboard Tiles

    • Click into this box to select from Donorfy’s standard tiles (the same tiles used in Classic Dashboards).

    • These tiles do not require a List Visualisation.

You can mix List Visualisations and Standard Dashboard Tiles on the same dashboard.

3. Permissions Section

Set who can access this dashboard:

  1. In the Owner, Editor, and Viewer boxes, add users as required.

  2. Use the roles as described in the Sharing Dashboards section above.

When you are finished:

  1. Click Save to create the dashboard.


Editing an Existing Dashboard

To edit a dashboard:

  1. Go to Home, then click Dashboards.

  2. Select the dashboard you want to edit (if needed).

  3. Click Edit Dashboard.

  4. Update any of the following:

    • Dashboard name.

    • Description.

    • Content (List Visualisations / Standard Dashboard Tiles).

    • Permissions (Owner / Editor / Viewer).

  5. Click Save to apply your changes.

Deleting a Dashboard

While editing a dashboard:

  1. Click the Delete option (available in the Edit view).

  2. Confirm deletion.

⚠️Important: Once deleted, a dashboard cannot be restored. If it was removed by mistake, you will need to recreate it following the “Creating a New Dashboard” steps.


Selecting Which Dashboard to View

You can choose which dashboard you see when you open the Dashboards area:

  1. Go to Home, then click Dashboards.

  2. Open the dashboard drop-down list to see all dashboards available to you (based on your access).

  3. Select the dashboard you want to view.

The selected dashboard will display all tiles assigned to it, including:

  • Any List Visualisation tiles you have access to.

  • Any Standard Dashboard Tiles included on that dashboard.
