When you upload a file, Donorfy automatically checks it for issues such as invalid values, missing required fields, or formatting problems. If errors are found, the file will not be imported. You can download the reviewed file, identify the issues, correct them, and upload a fixed version.

Review the File Check Results

After upload, Donorfy displays the file with a status summary.

  1. Click Download your file to review the details.

  2. When opening the file in Excel, you may see Protected View. Click Enable Editing to see the validation messages.

Understand the Status and Action Columns

Donorfy adds two columns to the start of the downloaded file:

  • Status – shows whether each row can be imported.

  • Action – shows what Donorfy intends to do with the row.

To understand the meaning of each status value, refer to Status and Action Explained.

Identify and Fix Errors

  • Cells containing invalid data are highlighted in red.

  • Click any red cell to view a popup explaining the error.

  • Use these details to correct your original file.

It is usually quickest to:

  1. Compare your original file with the downloaded file.

  2. Apply the corrections to the original file.

  3. Delete the previously uploaded version from the upload queue.

  4. Upload your corrected file to Donorfy.

Correcting Errors Directly in the Downloaded File

You may edit the downloaded file instead of the original, but:

⚠️ Important:
If you make corrections directly in the downloaded file, you must delete the Status and Action columns before re-uploading.
