Tips and Things to Avoid When Using the File Uploader

Do not delete your uploaded files if something goes wrong. Donorfy Support can review the file and help you correct issues.

Tips for Successful Uploads

  1. Keep each worksheet below 1000 rows for optimal performance.

  2. When pasting data into the template, use Paste as Values, then reformat date fields to avoid hidden formatting issues.

  3. Upload and apply changes one file at a time to maintain clarity and avoid conflicts.

  4. Do not change the cell formats in the template—they are preconfigured for correct processing.

  5. Set up lookup fields in Donorfy first, such as Campaigns, Products, and Payment Methods.

  6. Import donors first, followed by donations and other Timeline entries in separate workbooks.

  7. You can undo an import, but only if no manual changes have been made to that data in Donorfy.

  8. Embedded HTML (e.g., <script>alert('1')</script>) is removed automatically.

  9. Cells beginning with =, +, -, #, or @ will be prefixed with a single quote to prevent formula execution.

📌Note:
If your organisation hosts Donorfy on its own Azure server, contact Support if you wish to increase the upload row limit. This applies only to adding new data, not to updates.


Common Mistakes to Avoid

Even well-prepared files can contain hidden issues. The File Uploader highlights some errors, but many common problems require closer inspection.

Frequent Mistakes

  • Using an outdated Data Preparation Template (missing new fields or system updates).

  • Missing key information, such as Constituent Type.

  • Misspellings or inconsistent naming.

  • Incorrect sheet names (e.g., “Sheet1” instead of the required tab name).

  • Uploading the wrong file type (CSV files are not supported).

  • Filters or formulas left in cells.

  • Comments left in fields.

  • Multiple tabs containing data in a single upload file.

  • Fields exceeding the maximum length (100 characters).

  • Using invalid characters such as < or >.

  • File names that do not follow expected formatting.

  • Exceeding the maximum number of columns (occurs if you have very large numbers of Tags).

  • Exceeding the row limit (1000 rows for standard hosting).

  • Incorrectly formatted dates—always use Short Date (e.g., 15/10/2019).


Best Bit of Advice

Test before uploading your full dataset.

  1. Prepare a small test file using the same structure as your main upload.

  2. Upload the sample to check for formatting issues or incorrect field ordering.

  3. Undo the test import if needed and correct your file.

  4. Use test Tags or identifiers to make test records easy to identify and remove later.
