Q1: How do I disconnect from Xero?
Answer:
Go to Settings, then click Configuration.
Open Xero Settings.
Click Disconnect from Xero.
Disconnecting will mean you can no longer send Receive Money items to Xero. Mappings are preserved however, so when you reconnect they will still be there.
Q2: What doesn't the integration do?
Answer: The Donorfy–Xero integration has some intentional limitations:
It does not aggregate multiple Donorfy transactions into a single Receive Money item.
Receive Money items do not include a payout reference.
Payout references are excluded because payment gateway payouts often occur days or weeks after the transaction is recorded in Donorfy.
Q3: How do payment processing fees appear in Xero?
Answer: A payment processing fees are usually known by Donorfy at the time the transaction is created. So when the integration sends a transaction from Donorfy to create a corresponding Receive Money item in Xero the processing costs are identified in a Detail line as a negative amount. Processing costs need to be allocated to an Account.
Q4: How do I reconcile Receive Money items sent to Xero?
Answer: Reconciliation of a Receive Money item sent by the Donorfy integration to a bank statement line is the same process as for any kind of reconciliation. Processing costs need to be allocated to an Account.
Q5: How do I reconcile Receive Money items sent to Xero?
Answer: Reconciliation of a Receive Money item sent by the Donorfy integration to a bank statement line is the same process as for any kind of reconciliation. The data sync is not automated:
Click on the Send to Xero button.
It will send all the transactions shown in the preview. This is to allow you to view what will happen before populating Xero with Receive Money items.
Q6: What dates does the integration use?
Answer: For the Send all Unsent option, the integration uses the Date Added date to select the transactions that it needs to send to Xero rather than the Date Paid, Date Due, Transaction Date or Accounting Date. This is so the most recent transactions to Donorfy can be located easily rather than having to backdate the dates to another point in the year or previous years.
Q7: Does the connection to Xero expire if no sync has been made for a period of time?
Answer: If there are no data syncs to Xero have been made for a 60-day period, Xero will expire the 'token' used to authenticate the connection. In the event of this, all that is needed to do is reconnect to Xero and link it to the organisation that was used previously. Once connected all of your mappings will be restored and you can start to send your financial data to Xero. If you connect to a different organisation than was used previously, no mapping will be restored.
