Reconcile Stripe with Donorfy

Learn how to match Stripe transactions to Donorfy records for accurate reconciliation.

How Stripe Transactions Appear in Donorfy

When a Stripe payment is made, Donorfy receives the following details:

  • Constituent name.

  • Address

  • Email address

  • Donation amount

  • Your Donorfy Statement Name

The payment is then added to the constituent’s timeline. The following dates will be identical because Stripe settles the payment in the same day:

  • Date Paid.

  • Transaction Date.

  • Accounting Date.

📌Note:
Donorfy cannot determine the date Stripe transfers funds to your organisation (payout date). Stripe payout frequency varies (daily, weekly, monthly), so Donorfy can not deduce any other Accounting Date than the day in which the transaction took place and settled.


Stripe Reference Fields in Donorfy

Stripe transaction references are stored in two Donorfy fields:

Donorfy Field

Stripe Value

Payment Reference1

Stripe Customer Number

Payment Reference2

Stripe Transaction Number

Example:
Payment Reference1: ch_1H1dehsdtTAvusCWeNist30Czk.
Payment Reference2:txn_1H2edYKgAvKFvpeNN67Blh0D.

Any processing fees are added to the Processing Costs field on the Donorfy transaction.


Create a Transaction Payment List for Reconciliation

  1. Go to Lists and create a Transaction Payment List.

  2. Add filters for:

    • Payment Method = Stripe.

    • Date Paid within your reconciliation period.

  3. Add the following output fields:

    • Amount.

    • Processing Costs.

    • Payment Reference1.

    • Payment Reference2.

    • Personal Label Name.

    • Personal Postal Code.

    • Constituent Number.

    • Transaction ID.

    • Any additional fields you may need.

  4. Download the list to Excel.


Reconcile Your Data

You can now use Excel to match Stripe reports with Donorfy records:

  • Use PivotTables or Subtotal to create daily, weekly, or monthly totals.

  • Use VLOOKUP to compare and match reference.
