If HMRC rejects a claim outside of the online gateway (for example, by email or letter), Donorfy will not receive a rejection notice. This means the claim will continue to display a status of Claimed, even though HMRC has not accepted it. In this situation, the claim must be resubmitted manually through your organisation’s HMRC portal.
Why Donorfy Still Shows the Claim as Claimed
Because HMRC did not send an electronic rejection response through the Charities Online gateway, Donorfy has no way to detect that the claim failed. As a result:
The claim appears as Claimed in Donorfy.
Donations from the claim are not automatically moved back into the Active Claim.
You must handle the resubmission outside of Donorfy.
Resubmit the Claim Manually via HMRC
HMRC requires you to submit the rejected claim manually using a CH51 schedule (please check with the HMRC for the correct form for your organisation).
📌Note:
A CH51 schedule can contain up to 1,000 lines.
If your claim has more than 1,000 donations, you must split them into multiple schedules.
Submission must be done through your organisation’s HMRC online portal.
Download the Claim Data from Donorfy
To prepare the information needed for your CH51 schedule:
Navigate to Financial, select Gift Aid.
Click Previous Claims.
Select the relevant claim from the dropdown list.
Click the Download button (cloud icon).
Save the file containing all donation details included in the original claim.
You can now use this data to complete and submit your CH51 schedule to HMRC manually.
