Submit a Gift Aid Claim

Learn how Gift Aid claims are created, reviewed, submitted, and tracked in Donorfy.

Donorfy automatically manages Gift Aid claim cycles. Each month, your Active Claim is closed and moved to Ready to Claim, where it can be submitted to HMRC manually or automatically at month end. You can also monitor the status of claims after submission.


How Claims Are Created and Moved

At the end of each month, Donorfy automatically:

  • Closes the current Active Claim.

  • Moves it to Ready to Claim.

  • Starts a new Active Claim for the next month.

If Gift Aid is enabled under Financial, Gift Aid, system administrators receive an email notification when a claim becomes ready.

You can manually move an Active Claim to Ready to Claim at any time.


Submit a Gift Aid Claim

  1. Navigate to Financial, click Gift Aid.

  2. Click the Ready to Claim tab.

  3. Review the list of donations to ensure everything is correct.

  4. Choose one of the following:

    • Submit Claim: submits the claim to HMRC immediately.

    • Do nothing: Donorfy will automatically submit the claim at the end of the month.

Once submitted, the claimโ€™s status changes from Ready to Submitted and the claim appears under Previous Claims.


How Donorfy Tracks Submission Status

After submission, Donorfy routinely checks with HMRC for updates. HMRC may return one of the following statuses:

HMRC Status

Meaning

Donorfy Status

Acknowledged

HMRC has received the claim but not processed it yet.

Submitted

Complete

HMRC has processed the claim successfully.

Claimed

Error

HMRC found a problem with the claim.

Rejected

If a claim is Rejected, view the error message displayed in Donorfy.
