Visualise Data Using Lists

Create charts, summaries, and insights from your Donorfy Lists using the Visualisation tab.

Using Lists in Donorfy, you can analyse your data in two ways:

  1. Data tab: View results in a table format.

  2. Visualisation tab: Create charts and numerical summaries from your List data.


Open the Visualisation Tab

To begin building a visualisation:

  1. Open your List.

  2. Click the Visualisation tab.

You can now create charts, graphs, or summary values based on the data returned by your List.


Understand Display and Measure

Each visualisation is built using two key components.

Display

Display defines what you want to summarise. This is categorical data and is usually text-based.

Common examples include:

  • Campaign.

  • Fund.

  • Constituent Type.

  • Gender.

Measure

Measure defines the numerical value you want to analyse.

Common examples include:

  • Gift Amount.

  • Payment Amount.

  • Allocation Amount.

  • Research Score.

πŸ“ŒNote: Display answers β€œby what?”, while Measure answers β€œhow much?” or β€œhow many?”.


Choose a Data Aggregation

When using a Measure, you must choose how the values are aggregated.

Available aggregation options are:

  1. Sum

  2. Count

  3. Average

  4. Highest

  5. Lowest

Aggregation determines how Donorfy calculates the numerical value shown.


Build a Visualisation

To create your chart or summary:

  1. Locate Available columns.

  2. Drag a column into Display.

  3. Drag a column into Measure.

  4. Select an aggregation method if required.

Available columns are based on the columns selected in your List and will vary from List to List.


Choose a Visualisation Type

Select one of the following options under Choose visualisation:

  1. Pie Chart

  2. Line Graph

  3. Bar Chart

  4. Value

The Value option only requires a Measure and does not use Display.


Format Your Visualisation

You can adjust how your visualisation appears.

  1. Add thousand separators.

  2. Display values as currency using a symbol.

  3. Set the number of decimal places.

  4. Adjust text size to Small, Medium, Large, or Extra Large.

Example:
Measure set to Pledge Amount with Aggregation set to Highest.


Interact with Visualisations

Once created, visualisations are interactive.

  1. Hover over pie segments or bars to view exact values.

  2. Right-click near the visualisation to copy it for use in reports or presentations.

Copied visuals can be pasted into documents such as trustee or finance reports.


Use Custom Fields in Visualisations

You can include custom activity and tag fields for deeper insights.

  1. Use custom text or number fields as Display or Measure values.

  2. Ensure your List filters specify a particular Activity or Tag.

  3. Save the List to make the custom fields available.

πŸ“ŒNote: Custom fields will not appear unless the List is filtered and saved correctly.


Count Constituents by Category

To count how many constituents fall into a category:

  1. Use a Constituent List.

  2. Include the Number column.

  3. Set Measure to Number.

  4. Set Aggregation to Count.

  5. Set Display to your chosen category.

Common Examples

  • Count of constituents by type.

    • Display: Constituent Type.

    • Measure: Number.

    • Aggregation: Count.

  • Where donors live.

    • Display: Personal County.

    • Measure: Number.

    • Aggregation: Count.
