Constituents: Overview

Learn how constituents are structured and organised in Donorfy.

Constituents are the people and organisations stored in your Donorfy database. Every constituent is classified by a Constituent Type, which controls how their record behaves and what information is stored.

Constituent Types determine whether a record represents an individual or a group and affect how contact details and tabs are displayed.


Understand Constituent Types

Each constituent must have a Constituent Type.

Constituent Types can be flagged as Groups, which typically represent organisations.

Group Constituent Types

Group constituents display differently from individuals.

  • The organisation name is shown as the primary name.

  • A Main Contact can be associated with the organisation.

  • There is no Personal tab in Contact Details.

  • Only Work and Other contact details are available.

Group types are commonly used for organisations, companies, or community groups.

Individual Constituent Types

Individual constituents represent people.

  • Personal details such as name, gender, and date of birth are stored.

  • A Personal tab is available in Contact Details.

  • Work and Other contact detail tabs are also available.


Navigate Constituent Tabs

Each constituent record is organised across two main tabs:

Profile Tab

The Profile tab stores core information about the constituent, which includes:

  • Name and basic details.

  • Contact information.

  • Tags and tag categories.

  • Key classifications and attributes.

Timeline Tab

The Timeline provides a complete engagement history in reverse chronological order.

The Timeline can include:

  • Transactions – Donations, purchases, and subscriptions.

  • Recurring Payment Instructions – Records of regular giving intentions.

  • Activities – Communications, event registrations, and other interactions defined by Activity Type.

  • Gift Aid Declarations – Gift Aid consent records.

  • Opportunities – High-value funding bids.

  • Opportunity Pledges – Pledged income linked to Opportunities.

  • Change Log – A full audit history of changes made to the constituent record.

The Timeline gives a single, consolidated view of all engagement with a constituent.


Use Connections and Tags

Constituents can be linked to other Constituents and Campaigns using Connections, which are based on configurable Connection Types.

Tags allow you to label and segment constituents.

Tags are arranged into Tag Categories and displayed accordingly on the constituent form.
