Why a Donation Does Not Appear on a Gift Aid Claim

Learn about every condition that must be satisfied for a donation to be included in a Gift Aid submission.

A donation will only appear on a Gift Aid claim if all eligibility requirements are met for both the donor and the transaction. If any requirement is missing or invalid, the donation will be excluded from the claim.
Gift Aid rules are legally defined by HMRC. Ensure donor records and transactions are complete and accurate before submitting a claim.


Donor Requirements

A donation will only be claimable if the donor meets all of the following conditions:

  1. The donor has a first line of address.

  2. The donor has a valid postal address.

  3. The donor Title is fewer than 4 characters (e.g. Master or Mrs. would fail).

    • Extra spaces in the Title field can cause failures.

  4. The donor has a valid Gift Aid Declaration that:

    • Is not cancelled.

    • Includes a Tax Payer Title, First Name, and Last Name.

    • Has a Confirmed On date when Confirmation Required is set to Yes.


Transaction Requirements

The donation must also pass all transaction-level checks:

  1. In the Allocation section, Potentially Gift Aid-able? is set to Yes.

  2. Date Paid meets all of the following:

    • Within 4 years of the end of the financial year in which it was received.

    • On or after the declaration start date.

    • On or before the declaration end date (if present).

  3. The Product used is configured as Gift Aid-able.

  4. The Payment Method used is configured as Gift Aid-able.

  5. The donation has not been previously claimed.

  6. The donation was not uploaded with โ€œDo Not Claim Gift Aidโ€ set.
