Occasionally, you may need to reverse Gift Aid that has already been claimed. This is typically required when:
A payment was mistakenly recorded as a donation (e.g. event ticket purchase).
A donor’s Gift Aid declaration should not have been valid at the time of the donation.
Reversing a claimed transaction allows Donorfy to include an adjustment in your next Gift Aid claim, reducing the amount reclaimed from HMRC by the correct amount.
⚠️ Important:
Do not correct the transaction (e.g., changing Product, cancelling the Gift Aid declaration, or marking it non–Gift Aid-able) until after the reversal has been processed in a new claim.
How Gift Aid Reversal Works
You mark the previously claimed donation as Reverse.
The next Gift Aid claim includes an adjustment for this reversal.
You provide a short explanation, which is sent to HMRC.
When submitted, the transaction’s status becomes Reversed.
You can then safely make the corrections that would have originally prevented the Gift Aid claim.
📌 Note:
The transaction must still be eligible for Gift Aid at the point of reversal.
Make corrections after the claim containing the reversal has been submitted.
Reverse a Previously Claimed Donation
Navigate to Financial, click Gift Aid, then select Previous Claims.
Open the relevant claim.
Locate the donation(s) you want to reverse.
Click the Claimed status for the donation.
Change the status from Claimed to Reverse.
Confirm by clicking the tick icon.
When you refresh the Active Claim:
The reversed item appears as Reversal of £….
Enter a brief explanation (required for HMRC).
After Submission
Submit the new Gift Aid claim containing the reversal.
The donation(s) will update to Reversed.
You can now safely correct the transaction, including:
Cancelling the donor’s Gift Aid declaration.
Changing the Product (e.g., donation to event ticket).
Marking the transaction as not Gift Aid-able.
Amending any settings that originally caused the error.
