How Opt-Out Status Is Determined
A constituent may be marked as not contactable in two ways in Donorfy:
Email Channel = No (Red).
Preferred Contact = Do Not Contact (with Email Channel = No).
These behave differently during the Mailchimp sync.
Sync Email Channel = No
When a constituent’s Email Channel is set to No (Red):
They are treated as opted out.
Syncing them to Mailchimp will unsubscribe the contact automatically.
How to sync only opted-out contacts
Create a Constituent List with filters:
Email Channel = No.
Email address is present.
Run the Mailchimp sync using this List.
Any matching contacts will be unsubscribed in Mailchimp.
Recommended alternative
Create a List that includes all contacts with:
Email Channel = Yes.
Email Channel = No.
An email address.
This type of List ensures that:
Newly opted-in contacts are added or updated.
Recently opted-out contacts are unsubscribed in Mailchimp.
📌Note: This approach ensures no gaps between preference changes and Mailchimp syncing.
Method 2: Do Not Contact + Email Channel = No
If the constituent’s:
Preferred Contact = Do Not Contact.
ANDEmail Channel = No.
They are completely excluded from the Mailchimp sync process.
These constituents will not be updated in Mailchimp automatically.
How to update these contacts
You must update them manually in Mailchimp by either:
Applying unsubscribe or tag changes directly in Mailchimp.
Using a CSV import into Mailchimp to update multiple records at once.
Create a List to identify these records
Use filters such as:
Email address is present.
Preferred Contact = Do Not Contact.
Email Channel = No.
Work through this List to apply necessary actions in Mailchimp.
Archived and Deceased Constituents
There may also be Archived/deceased constituent profiles that require removing from MailChimp, you can also make configuration in this area.
