Locate Your Acknowledgement Template
Download your acknowledgements file from Donorfy.
Find and open the acknowledgement letter template you want to use (for example: Thank You Summer Appeal Template.doc).
Open the template either from your computer’s file explorer or via Word, File, Open.
Templates should already contain pre-defined text and merge fields.
Start the Mail Merge
Open the acknowledgement template in Word.
Go to the Mailings tab.
Click Select Recipients, then choose Use an Existing List.
Locate and select the acknowledgements file you downloaded from Donorfy.
To preview individual acknowledgements, use Preview Results.
Click the Next Record or Previous Record.
🤓Tip:Review several records to ensure merge fields display correctly before printing.
Make Corrections to Acknowledgements
If you spot incorrect details (for example, a name or donation amount), you have two options:
Option 1: Edit Individual Documents
Complete the merge using Finish & Merge > Edit Individual Documents.
Make corrections directly in the generated letters.
Update the donor’s record in Donorfy afterwards so your data remains accurate.
Option 2: Correct Data in Donorfy
Stop the mail merge process and close the template.
Find and correct the relevant records in Donorfy.
Restart the acknowledgement process and download a new acknowledgements file.

Finish and Print the Mail Merge
Go to the Mailings tab.
Click Finish & Merge, then choose one of the following options:
Edit Individual Documents – personalise or adjust text before printing.
Print Documents – send letters directly to your printer.
Close your template once the mail merge is complete.
