There may be occasions where you need to remove a large number of Activities from constituent Timelines. While individual Activities can be deleted manually, the bulk deletion feature provides a safer and more efficient option when working at scale.
This process works in three stages:
Identify the Activities you want to delete.
Mark those Activities for deletion.
Run the final deletion process.
Because bulk deletion is irreversible, this workflow ensures you can review and verify your selection before any data is removed.
⚠️Important:
Bulk deletion cannot be undone.
We strongly recommend downloading a copy of any Activities you are planning to delete before proceeding.
You must have a Donorfy Administrator user account to perform this operation.
1. Identify the Activities to Delete
Bulk deletion works from an Activity List, but you may need to do some preparation before marking items for deletion. This may include:
Tagging constituents you want to exclude.
Applying filters available only in other list types.
Running multiple lists to segment Activities first.
Once you are satisfied that your Activity List contains only the Activities you intend to remove:
Click Save & Update Preview.
Download the list as a backup copy.
2. Mark Activities for Deletion
Once your Activity List is ready:
Open the list.
Click the Bulk delete / archive button.
Select Mark all activities on the list for deletion.
The marking process will be queued. When it completes:
You will receive a confirmation email.
Refresh the Activity List in your browser.
The fields Marked for Bulk Delete by, Marked for Bulk Delete on, and Marked for Bulk Delete Status will be populated.
Each Activity will display a “pending deletion” notice on the constituent’s Timeline.
These indicators allow you and others to review what is scheduled for deletion before you proceed.
Reporting on Items Marked for Deletion
To review or validate the Activities marked for deletion, add the following columns to any Activity List:
Marked for Bulk Delete by.
Marked for Bulk Delete on.
Marked for Bulk Delete Status.
This is useful if another team member needs to review the flagged Activities before they are deleted.
Undoing (Resetting) the Mark for Deletion
If you have marked Activities that should not be deleted:
Create an Activity List that includes only those items you want to unmark.
Click the Bulk delete / archive button.
Select Reset mark for deletion for all activities on this list.
You will receive a confirmation email once the reset is complete. After refreshing the list:
All “marked for deletion” fields will be cleared.
The Timeline will no longer show the deletion notice.
3. Perform the Final Deletion
Once all Activities are correctly marked:
Navigate to Data Management, click Bulk Delete.
Open the Timeline tab.
Select Activities from the dropdown.
Click Preview Delete to see the number of items scheduled for removal.
Final Confirmation
Bulk deletion is permanent. Before continuing:
Review the Preview.
Ensure you have downloaded a backup list if needed.
To confirm the deletion:
Type Delete N (where N is the number of Activities to be deleted).
Example: Delete 96.
Click Delete.
The deletion will be queued, and once completed:
The deletion will appear under Previous Bulk Deletes.
A confirmation email will be sent to you.
