Import Data to Extra Fields

Learn how to import data into Activity extra fields using either the Data Preparation Template or your own custom-mapped file.

Prepare Your Data

Before importing, confirm you have enough information to either:

  1. Add a new constituent

    • Include Constituent Type and any available name or contact information.

  2. Identify an existing constituent

    • Provide at least one unique identifier, such as Email Address, Constituent Number, or External Key.

📌 Note: If a constituent cannot be matched or created, the activity will not upload.


Complete the Activity Details

  1. Enter the required Activity fields, such as:

    • Activity Date.

    • Activity Type.

    • Description (if applicable).

  2. Ensure the Activity Type matches the one that contains the extra fields you want to populate.


Importing Extra Field Values

Use the following columns in your file to import data into the corresponding Activity extra fields:

  • Text1–Text10: Stores text-based responses.

  • Date1–Date10: Stores date values.

  • Number1–Number10: Stores numeric values.

  • YesNo1–YesNo10: Stores Yes/No responses.

These map directly to the extra fields you created within the Activity Type.


Important Rules

Number fields

  • The maximum supported value is 9,999,999.99.

  • Any number larger than this will be ignored during import.

Yes/No fields

  • The import column must contain Yes or No.

  • Any other value (including blanks) will set the field to No.

Field alignment

  • Ensure the numbering in your file matches the numbering of your extra fields.

  • Example: Text3 in your file maps to Text Field 3 of the Activity Type.


Upload Your File

  1. Save your file as .xlsx.

  2. Navigate to Data Management, then File Upload.

  3. Upload your file and review the validation results.

  4. If no errors are shown, click Apply Upload.

⚠️ Important: Uploads cannot be undone. Always validate your data before applying.
