How Paid Up to Date Works
The Paid Up to Date shows the period a member has paid for. Membership payments are treated in advance.
For example, a payment made in May covers June.
π Note: When a member first joins, the Paid Up to Date remains empty until the first payment is collected.
First Payment Collection via Stripe
Stripe collects the first payment immediately at the point of joining. The Paid Up to Date is then set based on the payment frequency.
Example β Member joins in September 2021
Paying Every | First Payment Collected | Paid Up to Date After First Payment | Second Payment Collected | Paid Up to Date After Second Payment |
Month | September 2021 | 30 September 2021 | October 2021 | 31 October 2021 |
Year | September 2021 | 30 September 2022 | September 2022 | 30 September 2023 |
Quarter | September 2021 | 30 November 2021 | November 2021 | 28 February 2022 |
Half Year | September 2021 | 28 February 2022 | February 2022 | 31 August 2022 |
First Payment Collection via GoCardless (Joining Before the 22nd)
GoCardless requires time to set up the direct debit.
If a member joins before the 22nd, the first payment can be processed in the same month.
Example β Member joins before 22 September 2021
Paying Every | First Payment Collected | Paid Up to Date After First Payment | Second Payment Collected | Paid Up to Date After Second Payment |
Month | September 2021 | 30 September 2021 | October 2021 | 31 October 2021 |
Year | September 2021 | 30 September 2022 | September 2022 | 30 September 2023 |
Quarter | September 2021 | 30 November 2021 | November 2021 | 28 February 2022 |
Half Year | September 2021 | 28 February 2022 | February 2022 | 31 August 2022 |
First Payment Collection via GoCardless (Joining On or After the 22nd)
If a member joins on or after the 22nd, the payment setup cannot be completed in time, so payments start the following month.
Example β Member joins on or after 22 September 2021
Paying Every | First Payment Collected | Paid Up to Date After First Payment | Second Payment Collected | Paid Up to Date After Second Payment |
Month | October 2021 | 31 October 2021 | November 2021 | 30 November 2021 |
Year | October 2021 | 31 October 2022 | October 2022 | 1 October 2023 |
Quarter | October 2021 | 31 December 2021 | December 2021 | 31 March 2022 |
Half Year | October 2021 | 31 March 2022 | March 2022 | 30 September 2022 |
π Note:
When payments use other methods (e.g., standing orders), they must be reconciled using an EFT Batch. Posting the batch updates the Paid Up to Date.
How the Paid Up to Date Is Calculated
The system takes the month and year the payment belongs to and adds months based on the RPI frequency.
Example Calculation
If a payment for September 2021 is received and the Paid Up to Date is 30/09/2021, then the system adds:
Payment Frequency | Months Added | Paid Up to Date Set To |
Month | 1 | 31/10/2021 |
Year | 12 | 30/09/2022 |
Quarter | 3 | 30/12/2021 |
Half Year | 6 | 31/03/2022 |
Late or Missed Payments
Missed payments are ignored when updating the Paid Up to Date.
Example β Monthly membership
Month / Year Due | Payment Received? | Current Paid Up to Date | New Paid Up to Date |
December 2020 | Yes | 31 December 2020 | 31 January 2021 |
January 2021 | No | 31 January 2021 | Not Changed |
February 2021 | No | 31 January 2021 | Not Changed |
March 2021 | Yes | 31 January 2021 | 30 April 2021 |
April 2021 | Yes | 30 April 2021 | 31 May 2021 |
π Note: If the existing Paid Up to Date is later than the calculated date, the system does not move it backwards. This can happen when processing backlogged payments.
