Understand Membership Paid Up to Date

Learn how the Paid Up to Date value is calculated for membership recurring payment instructions (RPIs) and how it helps identify missed or late payments.

How Paid Up to Date Works

The Paid Up to Date shows the period a member has paid for. Membership payments are treated in advance.
For example, a payment made in May covers June.

πŸ“Œ Note: When a member first joins, the Paid Up to Date remains empty until the first payment is collected.


First Payment Collection via Stripe

Stripe collects the first payment immediately at the point of joining. The Paid Up to Date is then set based on the payment frequency.

First Payment Collection via GoCardless (Joining Before the 22nd)

GoCardless requires time to set up the direct debit.
If a member joins before the 22nd, the first payment can be processed in the same month.

If a member joins on or after the 22nd, the payment setup cannot be completed in time, so payments start the following month.

When payments use other methods (e.g., standing orders), they must be reconciled using an EFT Batch. Posting the batch updates the Paid Up to Date.


How the Paid Up to Date Is Calculated

The system takes the month and year the payment belongs to and adds months based on the RPI frequency.

Example Calculation

If a payment for September 2021 is received and the Paid Up to Date is 30/09/2021, then the system adds:

Late or Missed Payments

Missed payments are ignored when updating the Paid Up to Date.

πŸ“Œ Note: If the existing Paid Up to Date is later than the calculated date, the system does not move it backwards. This can happen when processing backlogged payments.
